Q:Where and when will the 2013 Clean Cooking Forum be held?

A:

The Clean Cooking Forum 2013 will take place at the Phnom Penh Hotel in Phnom Penh, Cambodia, March 18-22, 2013.  It will gather more than 400 of the world’s leading household energy and health experts for four days of technical presentations, case studies, intensive learning sessions and site visits.  The Forum, which will begin on Tuesday, March 19th, will be preceded by select pre-Forum sessions (in depth discussions on relevant topics) and an opening night reception on Monday, March 18th at the Phnom Penh Hotel.

Q:Why is the Forum in Cambodia?

A:

The last three biennial Forums hosted by the Partnership for Clean Indoor Air (PCIA) were held in Peru, Uganda, and India.  Rotating the Forum between Latin America, Africa and Asia helps provide access to a range of partners and allows participants to experience firsthand the diverse range of clean cooking programs worldwide.  The 2013 Forum in Cambodia will allow us to showcase the work of our Asian partners, specifically those working in Southeast Asia.

Q:Who is hosting and sponsoring the Forum?

A:

The Global Alliance for Clean Cookstoves is hosting the 2013 Forum with the support of co-
host GERES Cambodia. Current sponsors include Dow Corning Corporation, the U.S.
Environmental Protection Agency (EPA), Deutsche Gesellschaft fur Internationale
Zusammenarbeit (GIZ), Shell Corporation, the Asian Development Bank, the World Bank, the Government of the Netherlands, the Packard Foundation and the United Nations Foundation (UNF).

Q:What language will Forum sessions be held in?

A:

The Forum will be held in English and translation may be provided for those plenary speakers who present in another language.

Q:How do I register for the Forum?

A:

Registration will be open from November 27 – February 15 online through the Clean Cooking Forum website at: www.CleanCooking2013.org. In order to attend the Forum, you must register using this online form.  We encourage you to register today to reserve your spot in this exciting event, as space is limited. If your internet is unreliable, you may want to save a copy of your completed registration form before submitting, in the event that your information is not received and you need to re-submit. You may also contact forum@cleancookstoves.org if you experience trouble submitting your online registration form.

Q:How do I know if my registration was received?

A:

You will receive a confirmation email at the email address you provided in your registration form, letting you know that your registration was received. If you do not receive a confirmation email, please contact us at forum@cleancookstoves.org.

If you have submitted your registration form and notice an error in your profile, you cannot edit the information in your profile or submit a second registration. Please send any changes to forum@cleancookstoves.org.

Q:When is the Forum Registration Deadline?

A:

The deadline for Forum Registration is February 15, 2013.  After that date, registration will be accepted based on space availability.

Q:Do I need a visa to enter Cambodia?

A:

All visitors, except citizens from Indonesia, Malaysia, Singapore, Philippines, Laos, Thailand and Vietnam must have a visa to enter Cambodia. The Cambodian Ministry of Foreign Affairs and International Cooperation has launched e-visa, which enables you to apply for a Cambodia tourist visa online, instead of applying through a Cambodian Embassy. After completing the online application and paying by credit card, you will receive your visa by email, which must be printed and brought with you to Cambodia.  You can access e-visa here: http://www.mfaic.gov.kh/evisa/.   Although most participants will be able to receive a visa on arrival at the airport, the Alliance strongly advises you to obtain your visa prior to arriving in Cambodia to ensure your smooth entry into the country.

The following countries are exempt from using the e-visa or visa on arrival services and are required to obtain a visa from the Cambodian Embassy or consulate nearest to them: Afghanistan, Algeria, Saudi Arabia, Bangladesh, Iran, Iraq, Pakistan, Sri Lanka, Sudan, and NigeriaIf you will be attending the Forum from one of these countries, you are required to obtain your visa in advance. The Alliance offers participants the opportunity to download an invitation letter for visa purposes during online registration, which may be helpful in applying for a visa.

Q:There’s no Cambodian Embassy or Consulate in my country. Where can I go to get a visa?

A:

Not all participants will need to contact a Cambodian consulate – please see Question 9 above. However, if you do require a visa in advance and you do not have a Cambodian Embassy or Consulate in your country, you will need to send your passport with required information to Washington, DC to be processed.  Please contact Katie Gross at kgross@winrock.org for more information. Q:Are there any travel restrictions/regulations I should be aware of?

A:

If you plan to stopover in the United States or Europe on your way to Cambodia, you will be required to obtain a transit visa. These visas may be difficult to obtain, and we encourage you to fly through other counties if possible.

Q:What is the cost of attending the Forum?

A:

Participation in the 2013 Forum is free of charge; however attendees are responsible for their own travel costs, lodging, non-Forum meals, and incidentals.  Transportation support is available for a limited number of participants.  Please see the question below for details.

Q:How can I apply for financial assistance to attend the Forum?

A:

The deadline to apply for transportation assistance has passed.  If you did not receive support and therefore will be unable to attend please notify forum@cleancookstoves.org.

Q:How much money do I need to bring to the Forum?

A:

Please note that although there is no registration cost, Forum participants are responsible for covering the cost of transportation, hotel accommodations, non-Forum meals, and incidentals.  Please come prepared to cover these costs.  Unfortunately, the Alliance is not able to assist those who arrive at the Forum without sufficient funds to cover their expenses.

Q:How do I make hotel arrangements?

A:

The deadline for booking your room at the Phnom Penh Hotel is February 4th (no credit card/shared lodging) or February 10th (credit card). If you do not observe these deadlines, we cannot guarantee that there will be rooms available.

Make a reservation now directly with the Phnom Penh Hotel if you:

  • Are certain you will attend the Forum (even if you have not yet purchased a plane ticket);
  • Will pay by credit card; and
  • Prefer a single occupancy room or have already confirmed a roommate.
  • Deadline: February 10th, 2013

If you would like to make a reservation for a single occupancy room, or you have already made arrangements with another Forum attendee as a roommate, and are paying by credit card, please make a reservation directly with the Phnom Penh Hotel by emailing reservation@phnompenhhotel.com (be sure to mention “Global Alliance Clean Cooking Forum 2013” in your correspondence to receive the above rates for Forum attendees). You may make a reservation anytime between now and February 10th, however we anticipate a high turnout and encourage you to make a reservation as soon as possible to ensure accommodation at the venue hotel.  After February 10th, the block of rooms reserved for the Forum will be released for non-Forum guests and you may need to make arrangements elsewhere. Please note that if you have agreed to share a room with another participant who will arrive a day later or leave a day earlier than yourself, you will need to pay the full lodging costs for the night(s) of single occupancy. American Express, JBC International, MasterCard and Visa are accepted.  If you do not cancel your reservation within 7 days prior to arrival you will be charged for one night.

Make a reservation through the Alliance’s Lodging Reservation Form if you:

  • Are certain you will attend the Forum (even if you have not yet purchased a plane ticket);
  • Do not have a credit card; or
  • Prefer shared lodging and have not confirmed a roommate.
  • Deadline: February 4th, 2013

 

If you prefer shared lodging and would like the Alliance to pair you with a roommate, or you do not have a credit card, the Alliance will post a lodging reservation form in early January for you to reserve your room at that time. For shared lodging options, participants will be randomly assigned same-gender roommates, unless the name of another participant with whom you have agreed to share a room is provided on the forthcoming form. Please note that if you have agreed to share a room with another participant who will arrive a day later or leave a day earlier than yourself, you will need to pay the full lodging costs for the night(s) of single occupancy.  For participants who are paired up by the Alliance, we will make every effort to match you with a roommate with the same check-in/check-out dates. However, there may be cases where this is not possible and participants should be prepared to pay at least one night at a single occupancy rate. A government-issued photo identification and a credit card or cash deposit are required at check-in for incidental charges.  American Express, JBC International, MasterCard and Visa are accepted.  If you do not cancel your reservation within 30 days prior to arrival you will be charged for one night. The Alliance will only be able to make reservations for randomly assigned shared rooms and/or those participants who do not have credit cards. All others should make their reservation directly with the Hotel.

Q:What is the opening night reception and do I need to attend?

A:

An opening night reception will be held on Monday, March 18th at 6:00pm at the Phnom Penh Hotel.  All participants are invited to attend.  Forum sessions will begin on Tuesday, March 19th, with select pre-Forum sessions held on Monday, March 18th. Full information on the Forum agenda and the pre- Forum sessions is forthcoming.

Q:Will I be able to demonstrate my clean cookstove or fuel at the Forum?

A:

Yes. We have permission from the hotel to use their grounds for cookstove demonstration purposes.  However, for safety reasons, demonstrations may only take place from 4:00-7:00 pm on Thursday, March 21st following the site visits.  Please note: the Alliance will not be able to supply fuel or equipment, nor are we able to pay any shipping or transport costs associated with cookstove or fuel demonstrations.

If you plan to bring your cookstove to the Forum we suggest that you pack it and carry it with you on the plane.  Due to complications with international shipping, we cannot guarantee it will pass through customs.

Q:Will there be a poster exhibition?

A:

Yes, as in previous Forums there will be a poster exhibition Wednesday, March 20th from 6:00-7:30pm in the Crystal Ballroom. For those who do not already have a poster for their program/organization, the Alliance will follow up with a template and additional information on a deadline for submission.

Q:What about site visits during the Forum?

A:

A number of clean cookstoves and fuels site visits in and around Phnom Penh are being planned for Thursday, March 21. There will be approximately 4-5 site visits to choose from.

The site visits are designed to showcase local best practices and highlight regional achievements. Participants may select one site visit according to their preferences and time availability; some site visits may be shorter than others, allowing participants time to network or participate in the clean cookstove and fuel demonstrations upon an early return. Participants will receive a box lunch in advance of the site visit. Please note the site visits are pending confirmation and are subject to change.

2. Charbriquette Factory; Hosted by Sustainable Green Fuel Enterprise.
3. National Biodigester Programme; Hosted by SNV Cambodia.
4. Testing Center; Hosted by GERES Cambodia (by invitation only due to space constraints).

Q:What is the dress code for the Forum?

A:

The dress code is business casual.  Hotel meeting spaces are often air-conditioned, so please dress accordingly.

Q:Will my contact information be shared with other Forum participants?

A:

Forum participants may opt to have their contact information included in the attendee materials available at the Forum. These lists are distributed only to Forum participants and are intended for networking purposes only. The lists will contain each attendee’s name, title, organization, and email address.

Q:Can I bring a guest to the Forum sessions or dinner events?

A:

Unfortunately, due to space restrictions we are unable to allow non-Forum participants to attend Forum sessions or events.
